4. Data Collection on Our Website

Cookies

Some of the Internet pages use so-called cookies. Cookies do not damage your computer and do not contain viruses. Cookies are used to make our website more user-friendly, effective and secure. Cookies are small text files that are stored on your computer and saved by your browser.

Most of the cookies we use are so-called “session cookies”. They are automatically deleted at the end of your visit. Other cookies remain stored on your end device until you delete them. These cookies enable us to recognise your browser on your next visit.

Customise cookie settings

Server-Log-Files

The provider of the pages automatically collects and stores information in so-called server log files, which your browser automatically transmits to us. These are:

  • Referrer URL
  • Host name of the accessing computer
  • Time of the server enquiry
  • IP address

This data is collected on the basis of Art. 6 para. 1 lit. f GDPR. The website operator has a legitimate interest in the technically error-free presentation and optimisation of its website – the server log files must be recorded for this purpose.

The storage period is generally 7 days. In the event of suspected hacking or misuse, individual IP addresses are stored for clarification or even blocking.

Contact Form

If you send us enquiries via the contact form, your details from the enquiry form, including the contact details you provide there, will be stored by us for the purpose of processing the enquiry and in the event of follow-up questions. We will not pass on this data without your consent.

This data is processed on the basis of Art. 6 para. 1 lit. b GDPR if your enquiry is related to the fulfilment of a contract or is necessary for the implementation of pre-contractual measures. In all other cases, the processing is based on our legitimate interest in the effective processing of the enquiries addressed to us (Art. 6 para. 1 lit. f GDPR) or on your consent (Art. 6 para. 1 lit. a GDPR), if this has been requested.

We will retain the data you provide on the contact form until you request its deletion, revoke your consent for its storage, or the purpose for its storage no longer pertains (e.g. after fulfilling your request). Mandatory statutory provisions – in particular retention periods – remain unaffected.

Enquiry by Email or Telephone

If you contact us by email or telephone, your enquiry, including all resulting personal data (name, enquiry), will be stored and processed by us for the purpose of processing your request. We will not pass on this data without your consent.

This data is processed on the basis of Art. 6 para. 1 lit. b GDPR if your enquiry is related to the fulfilment of a contract or is necessary for the implementation of pre-contractual measures. In all other cases, the processing is based on your consent (Art. 6 para. 1 lit. a GDPR) and/or on our legitimate interests (Art. 6 para. 1 lit. f GDPR), as we have a legitimate interest in the effective processing of the enquiries addressed to us.

The data you send to us via contact requests will remain with us until you ask us to delete it, revoke your consent to storage or the purpose for data storage no longer applies (e.g. after your request has been processed). Mandatory statutory provisions – in particular statutory retention periods – remain unaffected.

Processing of Data (Customer and Contract Data)

We collect, process and use personal data only insofar as it is necessary for the establishment, content or amendment of the legal relationship (inventory data). This is done on the basis of Art. 6 para. 1 lit. b GDPR, which permits the processing of data for the fulfilment of a contract or pre-contractual measures. Personal data about the use of our website

(usage data) is only collected, processed and used to the extent necessary to enable the user to utilise the service or for billing purposes.

The customer data collected will be deleted after completion of the order or termination of the business relationship. Statutory retention periods remain unaffected.

Newsletter

You can register for our free newsletter via our website.

We use the service of the company Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin, hereinafter referred to as “Sendinblue”, to send the newsletter.

During the registration process for the newsletter, the requested data (name & email address) will be processed by Sendinblue. In addition, your IP address and the date and time of registration will be stored. During the registration process, your consent is obtained that you wish to receive the newsletter and reference is made to this page, the privacy policy.

The newsletters sent by Sendinblue contain technologies to recognise via analyses whether and when an email was opened and which links were clicked on. This and technical data (IP, system data) are stored in order to customise our newsletter to your interests. The underlying legal basis is Art. 6 para. 1 lit. a of the GDPR.

In accordance with Art. 7 para. 3 GDPR, you can revoke your consent to receive the newsletter at any time. To do so, you can use the unsubscribe link contained in every newsletter or send us an email. Your personal data will then be deleted from our servers and those of Sendinblue.

5. Plugins and Tools

Google Web Fonts

This site uses so-called web fonts provided by Google for the standardised display of fonts. When you access a page, your browser loads the required web fonts into your browser cache in order to display texts and fonts correctly.

For this purpose, the browser you are using must connect to Google’s servers. This informs Google that our website has been accessed via your IP address. The use of Google Web Fonts is in the interest of a uniform and appealing presentation of our online offers. This constitutes a legitimate interest within the meaning of Art. 6 para. 1 lit. f GDPR.

If your browser does not support web fonts, a standard font will be used by your computer.

Google Maps (With Consent)

This website uses the map service Google Maps via an API. The provider is Google Ireland Limited (“Google”), Gordon House, Barrow Street, Dublin 4, Ireland.

To ensure data protection on this website, Google Maps is deactivated as long as you have deactivated “experience” cookies in the site settings.

When using the Google map, Google Maps will save your IP address. This is then usually transmitted to a Google server in the USA and stored there. The provider of this site has no influence on this data transfer once Google Maps has been activated.

Google Analytics

This website uses Google Analytics, a web analytics service provided by Google Inc (“Google”).

Google Analytics uses so-called “cookies”, text files that are stored in the browser and enable the user’s use of the website to be analysed. The information generated by the cookie about the use of this website is usually transmitted to a Google server in the USA and stored there. However, if IP anonymisation is activated on this website, the user’s IP address will be shortened by Google beforehand within member states of the European Union or in other states party to the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and truncated there. The IP address transmitted by the browser used as part of Google Analytics will not be merged with other Google data.

We would also like to point out that the code “anonymizeIp” has been added to Google Analytics on this website in order to ensure anonymised collection of IP addresses (so-called IP masking).

6. Privacy Policy for Social Networks (Facebook, Instagram, Xing and LinkedIn)

a. General Information

ADITUS maintains publicly accessible profiles in various social networks. Your visit to these profiles triggers a variety of data processing operations. Below we provide you with an overview of which of your personal data is collected, used and stored by us when you visit our profiles. Personal data is data that can be assigned to you as a specific person (e.g. name, age, address, photos, email addresses, possibly also IP addresses). We also inform you about your rights with regard to the processing of your personal data. You are not obliged to provide us with your personal data. However, this may be necessary for individual functionalities of our profiles in social networks. These functionalities will not be available to you, or only to a limited extent, if you do not provide us with your personal data.

When you visit our profiles, your personal data is not only collected, used and stored by us, but also by the operators of the respective social network. This happens even if you do not have a profile on the respective social network. The individual data processing operations and their scope differ depending on the operator of the respective social network and they are not necessarily traceable for us. For details on the collection and storage of your personal data as well as the type, scope and purpose of its use by the operator of the respective social network, please refer to the data protection declarations of the respective operator:

b. Information on the Collection of Personal Data

(1) The data controller, including contact details, can be found above in section 2 of this privacy policy. The contact details of the data protection officer can be found above in section 3 of this privacy policy.

(2) Facebook and Instagram

As the operator of a Facebook fan page or Instagram company profile page, we can only view the information stored in your public profile, and only if you have such a profile and are logged into it when you visit our company page. In addition, Facebook and Instagram provide us with anonymous usage statistics that we use to improve the user experience when visiting our fan page. We do not have access to the usage data that Facebook or Instagram collect to compile these statistics. Facebook and Instagram have undertaken to us to assume primary responsibility under the GDPR for the processing of this data, to fulfil all obligations under the GDPR with regard to this data and to provide data subjects with the essentials of this obligation. This data processing serves our (and your) legitimate interest in improving the user experience when visiting our company profile pages in line with the target group. The legal basis for the data processing is therefore Art. 6 para. 1 lit. f) GDPR. In addition, Facebook and Instagram use cookies that are stored on your device when you visit our profile pages, even if you do not have your own Facebook profile or Instagram profile or are not logged into it during your visit to our company page. These cookies allow Facebook or Instagram to create user profiles based on your preferences and interests and to show you customised advertising (inside and outside Facebook or Instagram). (3) Xing and LinkedIn

With XING and LinkedIn, members can primarily manage their professional and private contacts and make new contacts. Companies can set up a company profile page with a logo and short profile, publish news and create discussion groups.

A personal profile with administrator rights must be assigned to the company profile. The dialogue in groups can only take place via the personal profile of a natural person.

To use the network functions, you must be registered as a user with XING or LinkedIn. In contrast to other social networks, XING and LinkedIn are based more on a combination of personal and electronic contact and are less commercial and less visually orientated. The focus is on professional dialogue on specialist topics with people who share the same professional interests. In addition, XING is often used by companies and other organisations to recruit staff and present themselves as an attractive employer.

Xing and LinkedIn provide further information in the data protection information linked above under point 6. a.

XING and LinkedIn provide us with anonymous usage statistics that we use to improve the user experience when visiting our company profile pages. This data processing serves our (and your) legitimate interest in improving the user experience when visiting our company profile pages for specific target groups.

(4) If you use our profiles in social networks to contact us (e.g. by creating your own posts, responding to one of our posts or sending us private messages), the data you provide us with will be processed by us solely for the purpose of being able to contact you. The social media accounts (or the data processing there) are also intended to supplement the ADITUS website (www.aditus.de) and provide users with the opportunity to enter into dialogue with ADITUS. The legal basis for data collection is therefore Art. 6 para. 1 lit. a) and b) GDPR. We delete stored data as soon as its storage is no longer required. In the case of statutory retention obligations, we restrict the processing of the stored data accordingly.

c. Your Rights as a Data Subject Affected by Data Processing

As a data subject affected by data processing, you also have the following rights in relation to our social media presences:

  • You have the right to obtain information from us about the processing of your personal data within the scope of Art. 15 GDPR;
  • You have the right to obtain from us without undue delay the rectification of inaccurate personal data concerning you and/or the completion of incomplete personal data in accordance with Art. 16 GDPR;
  • You have the right to demand the immediate deletion of personal data concerning you within the scope of Art. 17 GDPR
  • You have the right to request the restriction of data processing concerning you within the scope of Art. 18 GDPR
  • You have the right to receive the personal data concerning you, which you have provided to us, in a structured, machine-readable format and to transmit those data to another controller in accordance with Art. 20 GDPR;
  • You have the right to object, on grounds relating to your particular situation, at any time to the processing of personal data concerning you within the scope of Art. 21 GDPR, provided that the processing is based on an overriding interest or your data is used for the purpose of direct marketing;
  • You have the right to withdraw your consent to data processing at any time without affecting the lawfulness of data processing based on consent before its withdrawal;
  • You have the right to complain to a supervisory authority about our processing of your data.

7. Microsoft Bookings

Our website uses the Microsoft Bookings service, which allows you to conveniently book an appointment online. The service is provided by Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18 D18 P521. It cannot be ruled out that the data you enter in the contact form and your IP address will also be processed in the USA. There is no level of data protection in the USA that is equivalent to that of the European Union. There are also no guarantees with regard to any access to personal data by government agencies.

ADITUS therefore expressly points out that the use of Microsoft Bookings to arrange an appointment is voluntary. You can also use another contact option to make an appointment. You have the option at any time to withdraw your consent to data processing, which you have agreed to by ticking the box on our contact form. In this case, the intended contact is no longer possible.

The legal basis for data transmission, storage and processing is your consent (Article 6(1)(a) in conjunction with Article 49(1) GDPR). Your data will be deleted as soon as it is no longer required to fulfil the purpose for which it was collected.

8. Pipedrive

We use the service provider Pipedrive, Pipedrive OÜ, Paldiski mnt 80, Tallinn 10617, Estonia for our customer relationship management tool (“CRM tool”) to process and store contact data. When contacting us (e.g. via contact form), the user data is collected and processed in the Pipedrive application. Pipedrive allows us to process and respond to requests and messages more quickly. For this purpose, data is transferred to Pipedrive and stored on Pipedrive servers.

We use the Pipedrive CRM system from the provider Pipedrive on the basis of our legitimate interests (efficient and fast processing of user enquiries, existing customer management, new customer business). You can access Pipedrive’s privacy policy here: https://www.pipedrive.com/en/privacy.

The legal basis for the use of Pipedrive is Art. 6 para. 1 lit. f. GDPR. Our legitimate interest is the fast and effective processing of contact requests and the organisation of our CRM.
